Job Description

DEFINITION

Under the general supervision of the Director of Information Systems, the IT Project Coordinator coordinates all IT projects and ensures departmental resources are utilized appropriately. Compiles project status reports, coordinates project schedules, manages project meetings, and identifies and resolves technical problems. The incumbent will also be responsible for identifying and analysing systems requirements and defining project scope, requirements, and deliverables. This position requires a confidential relationship to a policymaker.
 DUTIES (NOT ALL INCLUSIVE)
Coordinates with management in developing project scope, plan, deliverables, budget and milestones.
Consults with management personnel to define the boundaries and priorities of scheduled projects.
Provides analytical support to the Director in executing assigned projects.
Assesses potential issues and technical challenges and accordingly develop resolutions.
Participates in project design meetings and recommend improvements if needed.
Tracks project progress and ensure all project activities are completed on-time.
Oversees project correspondences and prepare and review project related emails, letters, proposals, memos, meeting minutes and other documents.
Reviews contract requirements and process invoices in timely manner.
Provides onsite technical advice to management and operating personnel on matters relating to data processing application systems.
Assists in maintaining the computer network; sets up new users and computers.
Performs diagnosis on malfunctioning components, accessories and peripherals and suggest possible resolutions.
Adds users to network; configures new servers, installs software and links to network.
Troubleshoots software problems, such as, software freeze ups with multiple users.
Serves as liaison for office automation systems and equipment problems.
Keeps a log of equipment in use; updates as necessary; verifies equipment slated for disposal.
Performs inventory control for all equipment and supplies.
Troubleshoots and maintains all computer equipment including printers, workstations and software.
Replaces and repair malfunctioning computer components.
Performs diagnosis on malfunctioning modems, storage devices, power supplies and mouse.
Performs other related work as required.
 MINIMUM QUALIFICATION
Graduation from an accredited college or university with a bachelor’s degree in Computer Science, Mathematics, Information Management System, Business Administration or any closely related field and five (5) years of relative experience.
 FACTOR 1 -KNOWLEDGE REQUIRED BY THE POSITION
Knowledge of Computer Programming and System Analysis.
Knowledge of the methods and techniques used in the operation and machine set up of data processing machine equipment.
Knowledge of modern office practices and procedures.
Ability to perform technical data processing work.
Ability to communicate effectively, orally and in writing.
Ability to instruct and develop in-service training programs for subordinates.
Ability to supervise technical and clerical personnel.
Ability to establish and maintain effective working relationships with all persons contacted during the course of work.
Considerable knowledge of the policies, procedures, rules and regulations governing the program/project.
Thorough knowledge of the objectives of the program/project.
Ability to exercise sound judgment and discretion in making decisions.
Ability to speak and write clearly and concisely.
Ability to establish and maintain harmonious working relations.
Knowledge of modern office procedures, practices and equipment.
Knowledge of research techniques and report writing.
Ability to prepare accurate, clear, complete, and concise reports.
