Job Description Summary
The Coordinator independently coordinates the day-to-day operations of the Department of Health Policy and Management's graduate programs. Reporting to the Department Chair and working closely with the Director of Graduate Studies, the Coordinator coordinates graduate admissions, student advising and progress, registration, course scheduling, experiential learning, doctoral milestones, graduation, reporting, and program communications.
The Coordinator serves as the primary administrative resource for graduate students and faculty, exercises independent judgment in routine program matters, interprets University policies, and coordinates with relevant University offices. During the planned transition, the Coordinator will learn the full scope of graduate program administration and progressively assume broader responsibilities based on experience and performance. This position supports recruitment, retention, marketing and event planning. Assists with student advising. Collaborates with orientation and admissions staff. Conducts assessment and research. Other duties as assigned.
Physical Demands: Requires close visual acuity and requires the ability to remain in a stationary position for long periods. Ability to lift boxes up to 25 lbs.

Minimum Qualifications
Education: Bachelor's degree from an accredited college or university.
Experience: One (1) year of experience in higher education, academic advising, student personnel administration, or counseling.
Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

Knowledge of recruitment, retention, and customer service best practices.
Knowledge of organization and administration best practices.
Skill in oral and written communication.
Skill in the use of Microsoft Office and Google Workspace products.
Ability to interpret and apply policies, procedures, regulations, and laws.
Ability to multitask while demonstrating a commitment to customer service.
Additional Job Details
PRIMARY RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING:
1. Graduate Administration and Advising: Advise students on degree requirements, registration, academic policies, and graduation. Monitor progress, conduct degree audits, process academic requests, and coordinate doctoral examinations, proposals, and defenses. Maintain confidential records and liaise with University offices.
2. Admissions, Recruitment, and Onboarding: Coordinate application processing, faculty review, applicant communications, recruitment, orientation, and onboarding. Maintain admissions information and enrollment data.
3. Academic Operations and Experiential Learning: Coordinate course scheduling and maintain syllabi. Support internships, practica, and capstones, including placement tracking, documentation, and communications with faculty and community partners.
4. Program Data and Communications: Prepare reports for accreditation and program assessment; maintain handbooks, websites, and student communications; coordinate events; track student funding documentation; and improve administrative processes.
5. Departmental Support: Support meetings, events, special projects, and routine operations. Provide backup administrative coverage and perform other duties assigned by the Chair.
PREFERENCES:
• Bachelors degree in public health, health administration, higher education, education, business administration, or a closely related field.
• At least three years of progressively responsible experience in higher education administration, graduate program coordination, student services, academic advising, or program management.
• Strong organizational, communication, problem-solving, and project-management skills.
• Demonstrated ability to interpret and apply policies, procedures, regulations, and academic requirements.
• Ability to manage multiple priorities while maintaining accuracy, confidentiality, responsiveness, and excellent customer service.
• Proficiency with Microsoft Office and Google Workspace.
• Ability to work effectively with students, faculty, staff, University offices, and external partners and to serve a culturally and academically diverse community.
• Experience supporting graduate education in public health, healthcare, or a related professional field.
• Experience using Workday Student or a comparable student information system and ELMS Canvas or a comparable learning management system.
• Experience supporting graduate admissions, accreditation, program assessment, or continuous quality improvement.
• Experience coordinating internships, practica, capstones, doctoral milestones, or other experiential-learning activities.
• Experience organizing recruitment, orientation, professional development, or graduation events.
