Salary:
$3,657.34 - $4,583.33 per month commensurate with experience.
Job Description Summary:
Provide administrative support to the Director, Clery Act Compliance & Law Enforcement Liaison and the System Ethics and Compliance Office. Serves as the first point of contact for the Moore-Connally Building by greeting guests, checking in guests, answering phones, answering emails, and performing administrative duties.
This position serves as the first point of contact for visitors at the Moore-Connally Building at the receptionist's desk, Monday - Friday, 8:00 am - 5:00 pm.
Responsibilities:
- Serves as the first point of contact for the Moore-Connally Building and all building occupants by greeting guests in a friendly and professional manner.
- Assists guests with checking in using a computer-based system.
- Answers main building phone line using a multi-line phone system, routes calls and forwards messages.
- Manages multiple Outlook domains, multiple Outlook calendars.
- Manages pre-planned visitors/meetings.
- Helps maintain office supplies, inventories, equipment acquisitions/disposals.
- Composes, transcribes, proofreads and edits correspondence, reports, memorandum, and other documents.
- Helps schedule and coordinate meetings and/or conference rooms for SO employees as needed.
- Sorts incoming USPS mail upon delivery. Work closely with building superintendents regarding building maintenance and received mail.
- Works closely with building superintendents to know what workers are in the building.
- Works closely with immediate supervisor regarding building closures and front door access (ie., A&M System closures, etc.).
- Assists with management of ID access for System Offices employees at the Moore-Connally Building.
- Assists the Ethics and Compliance Officer and SECO department as needed.
- Maintains confidentiality.
- Other duties as assigned.
Education and Experience:
- Bachelor's degree or equivalent combination of education and experience.
- Two years of relevant customer service and administrative support experience, including experience using a multi-line phone system.
