Job Description
The University of Nevada, Reno is recruiting for an Administrative Assistant 4 for the Parking and Transportation Services Department.
This position is the Front Office Manager for the Parking Services Department and is responsible for the managerial function of the office staff. This position provides administrative support to the Assistant Director and Director, oversees daily operations of the front office, manages a variety of financial processes, and assists customers with complex situations. This position enforces campus parking policies and procedures tactfully and consistently.
Duties include (but are not limited to):
Manage front office staff to include hiring, providing feedback, completing performance evaluations, training, managing time off requests to ensure adequate staffing levels, assigning tasks, ensuring task completion, and providing back-up support for front office team as needed due to staffing levels;
Oversee daily operations for the front office to include daily cash drawer balancing and deposits, identify and correct discrepancies and overages/shortages, work with department Administration on annual permit purchase by reviewing quantities and parking lot changes, handle configuration of parking permits in parking system, determine and verify permit availability and eligibility, and coordinate permit distribution; address customer concerns, complaints and escalated issues promptly and professionally;
Manage all high-level front office financial transactions such as citation void requests, investigate payment errors through web service payment gateway and process required corrections, review payment duplication though online systems and refund if required; process P-card reconciliation for two department credit cards;
Coordinate and oversee citation collections, including processing monthly citation notification by email and mail;
Manage the payroll deduction permit process to include processing cancellations, exchanges, and refunds; review delinquent payments, review employee separation notifications and coordinate with employee return of parking permit;
Oversee campus parking inventory as the permit inventory manager, including annual permit inventory review and updates to zone specific data reports, allocation of parking permits for purchase, drafting annual reserved space invoices and monitor payments, review permit sales throughout the year and provide data to Administration, and update all published campus maps after inventory counts; these include ADA, Service Vehicles, Bicycles, Shuttle and Zone maps, work with diverse campus community partners to provide sound parking solutions;
Manage the internal Campus Sign Map; update frequently to ensure all inventory changes as well as reserved signage are 100% accurate at all times;
Coordinate with the Field Supervisor regarding construction projects and Special Event Coordinator for event parking to ensure sufficient parking;
Maintain calendars, coordinate training events, prepare and take notes for meetings, and handle internal and external customer service issues as needed;
Serve as the Secretary of the Parking and Traffic Board, overseeing communications with board members and citation appellants, coordinating and scheduling meetings, and preparing and maintaining meeting minutes; and
Other duties as assigned.

Essential Qualifications
This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources;
OR
One (1) year of experience as an Administrative Assistant III in Nevada State service;
OR
An equivalent combination of education and experience as described above.
A valid Class "C" driver's license or higher operator's license is required at the time of appointment and as a condition of continuing employment.

Strong supervisory skills and experience in customer service.
Good written and verbal communication skills.
Detail oriented, organized, efficient, reliable and possess the ability to follow directions.
Experience handling and maintaining confidential information and communications.
Proficient in Microsoft Office Suite.
Physical Demands
If/when assisting with weekly meter money count, must be able to lift coin bags weighing up to 25lbs from the machine to the coin cart.
This position requires lifting up to 20 pounds occasionally; and/or up to 10 pounds of force frequently; and/or negligible amount of force constantly to move objects; and walking or standing to a significant degree and pushing and/or pulling.
This position requires the ability to see, hear, and communicate through speech.
Schedule
The typical work schedule is Monday through Friday from 8:00 am to 4:30 pm; this is subject to change based on organizational needs.
This position is designated as Essential Personnel. In the event of a campus emergency, special event, closure to maintain campus safety or building operations, this position may be required to work outside of regularly scheduled hours.
Compensation Grade
Grade 29
In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
