Job Description
The Administrative Assistant for the Business Office is responsible for receiving and handling correspondence and phone inquiries, and when applicable, routing them to the appropriate staff. The position serves as the gatekeeper and guide to Business Office services, assisting other departments and staff in the proper Business Office procedures. The position is responsible for preparing miscellaneous reports; issuing travel cards and ensuring travel card training has been completed; processing W9 forms to add new vendors to SFS; opening and distributing mail for the entire office; maintaining department documents in Share Point; completing proxy expense reports in SFS, organizing and coordinating information by acting as a liaison among key staff and other employees; ordering supplies for the department; updating employee information and assisting employees with password resets in the Statewide Financial System; assisting Business Office Management with various projects; ensuring the entire office remains organized and free of clutter; and resolving day-to-day operational problems.
The Administrative Assistant will need to have knowledge of all Business Office areas and provide back-up coverage in all areas as staffing needs change.
The position requires computer knowledge, an aptitude for working with numbers, the ability to multi-task, organizational skills, and the ability to work well with others. A person in this position will be required to perform complicated Mathematical operations which may include entering information into, offering basic interpretations of information within, or retrieving information from various computer databases, including the Statewide Financial System and/or Microsoft SharePoint or similar computer database software package.
SHIFT/PASS DAYS: Between 7:00 AM - 3:00 PM and 8:00 AM - 4:00 PM

Minimum Qualifications:
OPEN COMPETITIVE QUALIFICATIONS:
The position may be filled at the Administrative Assistant Trainee 1 level equated to SG-8, Administrative Assistant Trainee 2 level equated to SG-10, or full performance Administrative Assistant 1 SG-11, based on education and experience. Candidates hired at the trainee level will be advanced to the full performance level following the successful completion of the traineeship.
Administrative Assistant Trainee 1: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training at the Trainee 1, you will automatically advance to Trainee 2.
Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training as a Trainee 2 you will advance to the full level of this title without further examination.
Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
OR
Certification (e.g., IAAP Certified Administrative Professional) or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
COMPETITIVE MINIMUM QUALIFICATIONS
Candidates must be reachable for appointment on the current Civil Service Eligible List for this title.
70.1 TRANSFER QUALIFICATIONS
Be eligible to transfer via Section 70.1 of Civil Service Law.
